Teams & Roles
Share forms and responses with teammates using role-based access control on formbuild.io.
Invite teammates to help manage your forms, read responses, and watch analytics.
Teams are a Pro feature. A team can hold up to 5 members and 20 shared forms. For anything larger, talk to us about the Custom plan.
Owner vs. roles
Every team has exactly one owner — the person who created it and whose subscription the team runs on. Everyone else holds one of three roles: admin, editor, or viewer.
The owner is separate from the admin role. When ownership is transferred, the outgoing owner stays on the team as an admin.
What each role can do
| Action | Owner | Admin | Editor | Viewer |
|---|---|---|---|---|
| View forms, responses, and analytics | ✓ | ✓ | ✓ | ✓ |
| Create, edit, and rename forms | ✓ | ✓ | ✓ | — |
| Edit and delete responses | ✓ | ✓ | ✓ | — |
| Invite and remove members | ✓ | ✓ | — | — |
| Remove another admin | ✓ | — | — | — |
| Read integration secrets | ✓ | — | — | — |
| Transfer ownership | ✓ | — | — | — |
| Delete the team | ✓ | — | — | — |
| Leave the team | —* | ✓ | ✓ | ✓ |
* An owner must transfer ownership to another admin before they can leave.
The roles in practice
Admin
Runs the team day to day: updates team settings, invites members, and removes non-admin members. An admin cannot remove another admin, transfer ownership, delete the team, or touch the owner's subscription.
Editor
Works on form content and data. Creates forms, edits fields, renames forms, marks responses as spam, and deletes responses — but cannot change team membership or settings.
Viewer
Read-only. Suited to a client or stakeholder who needs to see responses and analytics without being able to change anything.
Secrets stay with the owner
Signing secrets and integration credentials — the webhook signing secret, reCAPTCHA and Turnstile secret keys, and Telegram bot tokens — are never returned to teammates, including admins. They are redacted from every form read.
Teammates can still configure and test those integrations; the actions run with the owner's authority so the raw secret never has to leave the account that owns it.
